Address the recipient by Full Name. Use gender-Neutral language. 对收信者要称呼对方的全名。使用中性的语言。 如果关系不是那么亲密,用Mr., Dr会比较好。 ? I 刚进外企的时候,收到很多别人转过来的信上都有这三个字母, 过了好久才知道意思是:For Your Information。看到这几个字母 意味着下面内容和我有关,但是关系不大,看看就好。因为对方 如果要你采取行动, 一定会说清楚“Catherine, please……”而不会只 是F.Y.I了事。 潜台词: 和你关系不大,给你随便看看。 CC CC就是发邮件时用的Copy功能,“抄送”的意思。每次发给你的 email, 你要做的是: 第一看标题, 第二看CC给谁, 第三才看内容。 CC给谁基本上能够说明对方的态度,CC一大批老板的,有时候是 要表扬对方, 但有时候却未必是啥好事, 也可能对方要推卸责任。 潜台词:当对方把发给你的邮件CC老板的时候,也许他的意思是 这件事告诉你了哦,你自己看着办吧,反正老板都知道,都盯着 你呢。当然看到自己的名字在CC那一栏里是比较开心的,因为那 意味着那就是这封信不用回,看看就可以,有人会回复的。 Concern 中文翻译成“关注”,其实在外企里面,如果你的上司或老板要是 说他很concern, 他可不是只想告诉你他很关注这个case。这句 话是暗示你做的事情有问题,你可要小心了。 潜台词:你这个事情也许会出岔子,你要好好注意,别弄砸了! My understanding is … 这句话的字面意思是:“我的理解是…”,往往是在你发表一个观 点或看法时,对方会说 “My understanding is …”。这时候你要注 意喽:他不是想让你听听他的理解是什么。而是想告诉你,你的 理解有误,我再给你解释一下。 潜台词:老兄,你的想法错了,我说的这个才是正确答案呢。 Appreciate 好像口语里很少用到这个词来表达感谢,但是在email里,这个词 可是使用率很高的。当事情自己解决不了的时候,需要别人帮忙 的时候,或者是自己做错事无法挽回的时候,一句“Your kind help should be appreciated.” 能够发挥很大的作用了。 如果你想让对方 快一点回复你的email,也可以在结尾写上“Your quick reply will be highly appreciated.”也可以起到很好的push作用。 潜台词:如果业务还不熟悉,很多工作不会做,那你的嘴一定要 甜,让人帮忙时就用appreciate,同事们也没有办法拒绝你了。 Involve 字面翻译成“介入”。一件事情,在外企involve的老板越高层,事 情就越复杂,Director(总监)要是involve了,那Manager(经理) 就开始紧张;VP(副总裁)要是involve了,那整个部门相关人员 都别想有好日子过,得加班加得四脚朝天。 潜台词:大佬很生气,后果很严重。 Aggressive 字面翻译成“进攻性的”,在外企里面意思含糊,褒义的有&具有开 拓精神的&、&有事业心的&,贬义的有&咄咄逼人的&、&喜欢没头 脑乱闯的&、&容易得罪别人的&,反正意思可褒可贬,看你自己琢 磨。 如果说自己&aggressive&的,潜台词是:我可不是那种混日 子的人,我是能干事的。 潜台词:一旦被别人说&very aggressive&,需要好好理解,也许人 家是说:这人整天凶巴巴的,不好相处,做事没头没脑,老闯祸。 但老板说你不够&aggressive&,那意思则是你不够积极,工作需要 更主动些。 Unacceptable 字面意思是:不能接受。老外从小接受的教育是人要以表扬鼓励 为主,所以老外批评人比较含蓄。说你这件事办的unacceptable, 已经算是说的很重了,就是指你办的事情太差了,说不过去啊。 潜台词:你办的这是什么事啊,太不合我心意了,最好小心点。 Challenge 字面意思是挑战,但是在外企的英文中它不当“挑战”讲而是“谴 责、批评、指责”。如果说,你被老板challenge了,那可不是老板 挑战了你,而是说你遭到老板的批评。 潜台词: 你得好好准备工作,否则谁都可以“挑战”你! Quota 员工的计划任务量,这个词对于很注重业绩的部门来说是个最敏 感的词语了,比如销售部,他们最关心就是每个季度的quota是 多少,自己如何才能完成这个 quota。 潜台词:如果你没有完成公司制定的quota,那你后面的日子可 就难过喽! Follow up 意思是:跟办。外企老板,尤其是老外,很重视项目或工作的进 度,而且要心里清楚是谁在负责,所以总喜欢问“这个case有没有 人follow up?”,如果一个工作还没有结果,却没有人follow up, 那部门主管可就会成为直接负责人了。所以,每个主管也都很聪 明,把自己手里面的所有case都分派给手下的员工,然后就由他 们自己去follow up。老板问起来,只要把员工名字告诉老板,然 后说说简单情况就可以了。这也就是为什么外企员工的独立性都 很强、效率很高的原因了。 潜台词:做事情得有始有终,不能没有人跟办执行。 To Do List 进入外企,如果你想有条不紊的完成手里面堆成小山的工作,而 且不会误了deadline,那你的法宝就是To Do List。一定要做一个 很有条理的Excel表格,把项目的名称、期限、具体内容、特别注 意、进展情况等都列成一个表,随时follow up自己的进度。这样,不仅能让自己变得有条理,而且在老板问起来的时候也好有个实 实在在的东西给她/他看。 同时, 这也是日后写绩效评估的一个文 字依据啊,何乐而不为呢? 潜台词:在外企可不能“光说不练”,只有把该做的执行工作都写 在清单里才能保质保量地完成工作。 Deadline 这个词是截止日期的意思。刚到外企的新手往往对手头的工作没 有时间观念,不知道要在规定的时间内完成,也不知道问每一个 任务的deadline是什么日期。最后,等真到了deadline还没完成, 那你的死期可就真到了。 所以, 你一定要自己做一份To Do List (任 务清单) , 把每一项任务都拍好顺序, 千万要写清楚交差的日期, 准时完成。 潜台词:Deadline就是说到了规定的日期完不成任务,你可就离 死不远了。 You deserve it. 正像《杜拉拉升职记》里面提到的,这句话的确在外企里面很流 行。 不过他有两个意思, 一个是褒义“当之无愧”, 另一个是贬义“你 活该”。所以,如果一是搞不清楚上级或同事说这句话的意思, 那可要仔细品味了。 不过大可放心, 如果是上级直接对你说 “You deserve it.”,那肯定是在夸奖你呢。 潜台词:这句话虽然是外企流行用语,但是场合不适当的时候可 要慎用啊。不然,得罪了同事你还不知道呢,小心人家找机会报 仇,那你可就真“活该了”。 Performance Evaluation 意思是:(定期的)员工个人评定。有的外企是一年做一次绩效 评估,有的是每季度都要做,程序是:员工先在评估表上自己打 分、写评语,然后由部门主管打分,两个人再一起沟通,并且制 定下一年或下一季度的行动计划。这个评定在外企里非常重要, 通过试用期需要评估,升职前也需要评估。通过评估可以让上司 看到自己的成绩,也是和上司交流的一个好机会,从而发现自己 的不足和有待提高的地方。 潜台词:拿Performance Evaluation不当回事的人,在外企绝对混 不久的。这样写英文 Email,对方会感觉你很有礼貌,很 有风度,很想帮助你需要写的英文邮件多了,就觉得很吃力,尤其是当需要经常写给 同一个人时。希望邮件的开头、结尾、一些客套的话能有不同的 表达~~ 邮件的开头 感谢读者是邮件开场白的好办法。感谢您的读者能让对方感到高 兴,特别是之后你有事相求的情况下会很有帮助。 Thank you for contacting us.如果有人写信来询问公司的服务, 就可以使用这句句子开头。向他们对公司的兴趣表示感谢。 Thank you for your prompt reply.当一个客户或是同事很快就回 复了你的邮件,一定记得要感谢他们。如果回复并不及时,只要 将“prompt”除去即可,你还可以说,“Thank you for getting bac k to me.” Thank you for providing the requested information.如果你询问 某人一些信息,他们花了点时间才发送给你,那就用这句句子表 示你仍然对他们的付出表示感激。 Thank you for all your assistance.如果有人给了你特别的帮助, 那一定要感谢他们!如果你想对他们表示特别的感激,就用这个 句子,“I truly appreciate … your help in resolving the proble m.”Thank you raising your concerns. 就算某个客户或是经理写邮件给你对你的工作提出了一定的质 疑,你还是要感谢他们。这样你能表现出你对他们的认真态度表 示尊重及感激。同时,你也可以使用,“Thank you for your fee dback.” 在邮件的结尾 在邮件开头表示感谢一般是表示对对方过去付出的感谢,而在邮 件结尾处表示感谢是对将来的帮助表示感谢。事先表示感谢,能 让对方在行动时更主动更乐意。 Thank you for your kind cooperation.如果你需要读者帮助你做 某事,那就先得表示感谢。 Thank you for your attention to this matter.与以上的类似,本 句包含了你对对方将来可能的帮助表示感谢。 Thank you for your understanding.如果你写到任何会对读者产 生负面影响的内容那就使用这句句子吧。 Thank you for your consideration.如果您是在寻求机会或是福 利,例如你在求职的话,就用这封邮件结尾。 Thank you again for everything you've done.这句句子可以用在 结尾,和以上有所不同。如果你在邮件开头已经谢过了读者,你 就可以使用这句话,但是因为他们的帮助,你可以着重再次感谢 你们的付出。YES:应改为 Tomorrow's meeting canceled。 一般来说,只要将位于句首的单词和专有名词的首字母大写即 可。另外一种较为正规的格式可将除了少于 5 个字母的介词、连 接词或冠词之外的每一个单词的首字母大写。 YES:New E-mail Address Notification;Detailed calculation NO:detailed calculation 视信的内容是否重要, 还可以开头加上 URGENT 或者 FYI (For Your Information,供参考) ,如:URGENT:Submit your report today! 二、称呼 1、E-mail 一般使用非正式的文体,因此正文(Body)前的称呼 (Salutation)通常无须使用诸如 Dear Mr. John 之类的表达。在同 辈的亲朋好友或同事间可以直呼其名,但对长辈或上级最好使用 头衔加上姓。YES:Tommy,或者 Mr. Smith。 2、称呼和正文之间,段落之间,正文和信尾客套话之间一般空 一行,开头无须空格。如: Jimmy, I received your memo and will discuss it with Eric on Wednesday. Unacceptable Unacceptable 的意思是不可取。外企很注意形式上对人的尊重, 因此在批评员工时用词也选择一些不激烈的词。这些词通常是表 扬词汇(如 acceptable)的否定形式。如果老板说“It is小王过去在国企, 曾经当过领导的秘书, 国企盛行的是文本公文, 公文都要打成小四号字的仿宋体。而现在任职的外企除了合约以 外,基本是无纸办公。 绝大多数对领导的请示、汇报都通过电邮,与同事的沟通也都要 写电邮。外企的电邮也有规范,邮件主体尽量不要出现汉字,汉 字只能在附件中出现。邮件字体一般要求英文用 Verdana,汉字 用细等线简体。 汇报,口头不如电邮 在国企的时候,小王经常去处长的办公室口头汇报工作,而且谁 去汇报得越频繁,谁就越被同事认为是领导的红人。可是现在到 了外企,老板从来没有叫他去汇报工作。过了两周,小王还在纳 闷,被老板叫去问话:“你怎么从来不用邮件向我和同事汇报工 作进度和反馈执行情况?”这一问,小王才知道外企不流行口头 汇报工作,他才意识到外企一天的工作量可能是国企的 4-5 倍, 领导没有那么多时间面对面听取工作汇报,而且领导也更健忘, 需要邮件提醒。 抄送还是不抄送 小王在国企的时候,通常是对外才会使用邮箱,邮箱里面一周能 收到 4-5 封电邮;而他来外企之后,一天就能收到 15-30 封电邮。 经常同事会把一些与小王无关的邮件抄送到小王的邮箱里面来, 一开始,小王还会诧异同事是不是发错了。 有一天,同事终于忍不住问小王:“小王,你怎么从来不把你的 邮件抄送给我们呀,我们都是快销组的呀!”小王原来以为一个 客户既然由自己负责,就没必要事无巨细抄送其他同事,无故增 加他人的邮件浏览量。而事实是,同一个团队的同事需要知道他 在做什么,更需要知道客户在做什么,这样整个团队才能协同前 进。于是,小王开始了向团队和老板抄送,过了一段时间,老板 又找小王麻烦了,“你怎么什么鸡毛蒜皮都抄送给我呀?”经过了 一个半月,小王才掌握到了邮件抄送的尺度。 外企电邮门道多 很难想象,外企的电邮系统如果瘫痪上几天,公司的运营和管理 会出现为什么样的状况。据统计,80%的外企职场人每天上班要 做的第一件事,就是打开电子邮箱收发邮件。70%的职场人,下 班前的最后一件事是查看邮箱,确认没有尚未处理的紧急邮件。 30%的职场人,即使下班或周末在家休息,也要强迫症式地登录 公司邮箱,查有没有漏掉紧要的任务。外企不流行口头汇报,发电邮是回报业绩的主要方式。这个场面 在许多职场小说上都屡见不鲜,比如《米娅,快跑》上,David 写了一个洋洋洒洒的 Email,发给了包括亚太区甚至是美国总部 在内的相关团队,狠狠地吹了一把。他甚至用了这样的语句:“请 原谅我的这个邮件写得如此之长,因为我担心任何的一点删减都 会影响到整个项目的辉煌。”不止是邀功,连自恋都溢于言表。 通常,相关被抄送人不能沉默,要表示祝贺。于是,大家真心实 意地、虚情假意地都 RE(回复)上 Congratulations!(祝贺!),邮件 越滚越大,大家周而复始地玩这个模式化的游戏。 记着用秘密抄送电邮与每个白领的职业发展关系也是如此紧密,不要把电邮简单 地理解为一封信,应该把电邮理解成为一种最重要的职场沟通方 式。别小看了电邮功能中的抄送、暗送、转发等功能,简单的几 个词,里面大有玄机。 面对面抄送是为了明晰责任 非外企人士经常会嘲笑,外企白领写电邮写到痴迷的程度,无论 大事小事都写电邮,即使面对面坐着也要写电邮。对此,外企白 领 Emily 的答复是:如果当面说或者在电话里讲,对方左耳听右 耳也许就忘了,许多事情从此“死无对证”。电邮存在公司服务器 上,白纸黑字,谁也赖不掉。最近有同事不按规矩出牌,用即时 通讯工具给 Emily 传重要公文,结果 Emily 漏掉了。现在 Emily 即 时通讯工具签名上多了一条 ,“请不要通过 QQ 和 MSN 传文件!” Email 也是聊天工具 施压用抄送 Lucy 某外企销售人员,她十分注意维护那些许久没有见面的客户 相信大家看过宫廷剧,宫廷剧上大臣最喜欢说的是:“明儿个我 参他一本,让他好看!”最先上奏折的是低级官员,然后双方阵 营逐级往上添奏折,最后丞相和太师才露脸“互掐”。 职场的电邮世界也经常上演古老的宫廷剧,白领们也在跟帖上奏 折“参”对方阵营一本。有的电邮被反复 Reward(回复),拖着长长 的尾巴。逐条看下去,像是看一场没有硝烟的战争。记者曾经看 一个邮件在短短 30 分钟,这封邮件被外企同事 RE(回复)20 次。 原来是 A 部门的项目没有得到 B 部门的支持,给搞砸了,客户很 生气,不仅不准备付款,而且不打算再与他们合作了。第一封电 邮是客户发给 A 部门总监的,是一封拒绝付款的投诉信。但是, 这封信却并没有被 A 部门的总监转发, 而是由 A 部门的一个小小 的项目经理“开球”,把邮件群发给了 A 部门 4 个小组的成员,希 望大家找出责任人。然后小组成员接二连三地 RE 这个邮件,开 始有 A 部门组员开始说 B 组坏话,还附上了证人与证词。后来, A 部门总监写了一封悔过书并连同那封被 RE(回复)了 20 次的电邮 一并抄送给了大老板。 从此 B 部门总监知道了 A 部门总监的威力, 不敢再拆台。 邀功也用抄送 电邮每天上演这看不见硝烟的战争,随着战争升级,电邮系统也 升级了。一些先进的系统除了常规的转发、抄送、暗送等功能, 还增加了很多新型“尖端武器”,比如“不得抄送”、“不得暗送”这 样的“防窃听”功能,“不得回复”、“阅毕自行删除”这样颇有心机 的功能。设计者的服务实在太贴心了,作为每日与电邮打交道的 白领,如果不好好玩转电邮,还真是有点对不住这些煞费苦心的 工程师。 电邮的升级版 关系。只要小雯看到什么幽默好玩的邮件,都会转发给她的朋友 和客户们。这些邮件包括养生秘诀、笑话、一组趣味图片等。如 果遇到有共鸣的话题,朋友们还会回复,这一回复,所有人都会 接收到。大家持续回复下去,就变成了接龙,邮箱就变成了 BBS。 所以,客户对于 Lucy 的印象总是很深刻。不过,Lucy 每次发这 样的搞笑邮件都挖空了心思,需要到猫扑、大旗网这些地方搜罗 好多资源。 因为她知道, 发搞笑邮件是有风险的。 如果确实搞笑, 就联络了感情; 如果不搞笑, 那么就是给客户发了一封垃圾邮件。 还有一次,小雯因为对主管没有秘密抄送也被批评,主管说:“给 客户的邮件一定得抄送给我, 这样我才能监控全局的工作。 但是, 你发给我的时候,一定要用密送功能。否则,在客户面前,我张 口打哈哈装不知道就玩不转了。” 小雯在外企是公关专员,她有一次因为抄送方面的不太注意,被 主管严厉批评。有一次很重要的公关活动,小雯将一份媒体统稿 发给了 8 家媒体,而且 8 家媒体记者的邮箱都没有加密,记者之 间都互相看得到。主管教训小雯她犯了两个错误:一个是针对不 同的媒体,要写不同风格、题材和体裁的稿件,不能用通稿;另 一个是,每个媒体都希望相关单位只请了他们这一家媒体,而发 给他们的消息是独家消息。当一个记者看到一篇统稿被抄送给 8 个人时,他甚至连这篇文章都不想看了。 商业英文书信一. 商业书信常用开头语 Generally Used In Business Letters (1)特此奉告等 T T T T T To bring to one's notice (knowledge); T T T T T T T To call one' T etc. Opening Phrases & Sentences8.
